Luxyvent Terms and Conditions for Event Attendees

These Terms and Conditions govern your attendance at our fantasy-themed events of Luxyvent. Registered at the Chamber of Commerce with the number: 96466294. By purchasing a ticket and attending an event, you agree to abide by these terms. Please read them carefully.
Ticket Purchase and Admission
- All ticket sales are final and non-refundable unless otherwise stated.
- Tickets must be purchased through official Luxyvent channels.
- Entry to the event requires a valid ticket and, if applicable, identification.
- Luxyvent reserves the right to refuse entry to any attendee who fails to comply with these terms.
- If the buyer does not receive a confirmation email with the ticket after purchase, they must inform Luxyvent immediately. If the event is not happening soon, this must be done at least 30 days before the event date so a solution can be arranged.
- Luxyvent recommends keeping the ticket confirmation email in a safe and easily accessible place and never deleting it.
- Luxyvent does not offer a refund, but you can safely sell your ticket through TicketSwap (Partner of Weeztix).
- Each ticket is issued once and allows entry for one person. Guests must present their ticket on a smartphone or as a printed copy. If the ticket details cannot be verified due to issues like a damaged or unclear printout, entry may be denied without a refund or compensation.
- Although tickets are linked to a guest’s name, entry will be granted to whoever presents a valid ticket first. Luxyvent is not responsible for unauthorized use. Guests must keep their ticket secure, as the QR code can only be scanned once.
- Guests must carry an original, valid ID throughout the event. Copies will not be accepted. Acceptable forms of ID include passports, driver’s licenses, and national ID cards from EU or EEA countries. Without valid identification, entry will be denied, and no refunds will be issued.
- All attendees must be at least 18 years old on the event date.
- Purchased and paid tickets will be sent to the email address provided by the guest. Luxyvent is not responsible for any damage caused by the guest providing an incorrect email address.
Event Changes and Cancellations
- Luxyvent reserves the right to modify or cancel an event due to unforeseen circumstances.
- In case of cancellation, ticket holders may receive a refund or a rescheduled event date.
- Changes in the event lineup, schedule, or location do not qualify for a refund unless explicitly stated.
Attendee Conduct
- Attendees must follow all event rules and instructions from staff, if not it will result in removal from the event without a refund.
- Disorderly behavior, including harassment, violence, or intoxication, will result in removal from the event without a refund.
- Attendees are responsible for their personal belongings; Luxyvent is not liable for lost or stolen items.
Health and Safety
- Attendees must adhere to all health and safety regulations.
- Any medical conditions or special accommodations should be communicated in advance.
- Luxyvent is not responsible for injuries or medical emergencies occurring during the event.
- Officially identified service and assistance dogs are allowed. All other animals or pets are not permitted.
- In case of a (medical) emergency, the guest grants permission to on-site first aid staff and security to carry out their duties.
- Luxyvent is not liable for any damage caused by relying on incorrect or incomplete information provided by the guest, nor for any damage incurred by the guest or attendees during or in connection with the event.
- Guests enter the venue at their own risk. Luxyvent is not responsible for lost, stolen, or damaged belongings, nor for illness, infections, food poisoning, allergies, or any other circumstances not attributable to Luxyvent during the event.
Liability and Indemnity
- Attendees participate at their own risk and agree to indemnify Luxyvent from any claims resulting from their attendance.
- Luxyvent is not liable for any errors or shortcomings of third parties providing services or products based on packages or add-ons offered by Luxyvent.
- The guest agrees to protect Luxyvent from any claims, damages, or losses caused by the guest or their party during the event. This includes any damage caused to third-party property or any other issues that arise because of the guest’s actions.
- If Luxyvent is held responsible for any damage caused by the guest, the guest must help Luxyvent resolve the situation, both outside and in court. If the guest does not take the necessary steps, Luxyvent can handle the matter themselves.
- The guest will be responsible for covering any costs, damages, or legal fees that arise from these claims.
- Any claim or defense related to the event not meeting the agreement must be made in writing and with proper justification to Luxyvent within 14 days after the event ends. If no such notice is given within this time frame, the right to take legal action or raise a defense is lost.
- The statute of limitations for any legal claims or defenses against Luxyvent is one year, starting from the moment the claim becomes due.
Photography and Media
- Guests are allowed to take photos and videos, provided they are for personal or household use only.
- By attending, you consent to photography and video recording that may be used for promotional purposes.
- For visitors it is not allowed to bring a professional camera.
Prohibited Items and Activities
- Outside food and beverages may be restricted based on venue policies.
- Illegal substances, weapons, and any prohibited items are strictly forbidden.
- Luxyvent reserves the right to inspect bags and personal items for security purposes.
- Smoking and vaping is not allowed inside the venue.
- Any attempt to sell merchandise, products, or services, or promote another event during the event without prior explicit written consent from Luxyvent is strictly prohibited.
- In case of a violation, Luxyvent has the right to remove the guest from the venue and deny access to future events.
Props
- Non-functional foam props are allowed at the event. Props made of metal, wood, or any material other than foam, regardless of whether they have blunt edges, are not permitted.
- Fireworks and any explosive materials are strictly prohibited.
- Luxyvent and its staff reserve the right to deny entry if a prop is found that could cause harm to others. They also have the right to confiscate any props and return them at the end of the event if the guest still wishes to enter.
Force Majeure
Luxyvent is not responsible for event delays or cancellations due to circumstances beyond our control, such as natural disasters, government restrictions, or unforeseen emergencies.
Privacy Policy
We collect and store personal information solely for ticketing and event purposes. Your data will not be shared with third parties unless necessary for event operations or required by law.
Governing Law
If a legal dispute arises between the parties, they must make every effort to resolve the issue through discussion before taking the matter to court.
These Terms and Conditions are governed by the laws of The Netherlands. Any disputes shall be resolved in accordance with the applicable legal jurisdiction.
